Privacy Policy

EffectiveOctober 11, 2026

We collect and use only the information reasonably needed to evaluate, establish, and administer professional business relationships—and we expect every visitor and client to use the appropriate secure channel for the information involved.

01

Scope

This Privacy Policy applies to medicalbillingwithportia.com, the Private Revenue Assessment, consultation scheduling, billing interactions, and other public or pre-engagement communications operated by Medical Billing With Portia LLC DBA The Kingdom RCM Method™ ("MBWP," "we," "us," or "our"). It does not replace the privacy, security, confidentiality, or data-processing terms contained in an executed client agreement, statement of work, or Business Associate Agreement ("BAA").

02

Information We Collect

We collect information that you provide directly, information generated through your use of our services, and limited technical information needed to operate and protect our systems.

  • Business contact information, including name, title, organization, email address, telephone number, and billing address.
  • Practice-level and operational information submitted through an assessment, inquiry, consultation request, proposal, or onboarding process.
  • Scheduling information and responses provided through our appointment platform.
  • Transaction, invoice, payment-status, and limited payment-method information provided through our payment processor. We do not receive full card or bank-account credentials from Stripe.
  • Technical information such as IP address, browser type, device information, referring page, timestamps, security events, and site interaction data.
  • Communications, approvals, documents, and records related to a prospective or active business relationship.
03

Do Not Submit PHI Through Public Channels

Do not submit patient names, dates of birth, account numbers, medical records, diagnoses, insurance identifiers, tax IDs, NPIs, payer credentials, passwords, or other protected or highly sensitive information through the public website, assessment, Calendly, Stripe, or ordinary email.

When an engagement requires access to protected health information ("PHI"), access will begin only through approved client-issued systems and after the parties execute the contracts and, when applicable, BAA required for that work. The terms of the applicable BAA and client agreement will govern PHI.

04

  • Evaluate requests for consideration and determine mutual fit.
  • Schedule and prepare for consultations.
  • Prepare proposals, statements of work, contracts, invoices, and onboarding materials.
  • Deliver, administer, secure, and improve authorized services.
  • Communicate about appointments, payments, account activity, service updates, and support requests.
  • Maintain business, tax, accounting, security, audit, and legal records.
  • Detect, investigate, and prevent fraud, misuse, unauthorized access, and other security threats.
  • Comply with applicable law and enforce our agreements and policies.
05

How We Share Information

We do not sell personal information. We may share the minimum information reasonably necessary with service providers that support our operations, including website hosting, Microsoft 365 and Teams, Calendly, Stripe, professional advisers, and security or technology providers. These providers process information under their own terms and privacy practices or under agreements with us.

We may also disclose information when required by law; to protect rights, safety, systems, clients, or the public; in connection with a business reorganization or transfer; or with your direction or consent. PHI is handled only as permitted by the applicable BAA, client agreement, and law.
